Volunteer position descriptions

Art Auction (Annually in November) :

Help raise funds at this prestigious event, taking tickets, exhibiting art from the stage, delivering art to the winning bidder, prepare auction displays, etc. Click here to Volunteer

BuskerFest (Annually in August) :

Help collect donations for Epilepsy Toronto by greeting guests at the gate and see some of the most spectacular street performers in the world. Click here to Volunteer

Gift Wrap Campaign (Annually in December) :

Promote independence and optimal quality of life for people with epilepsy and their families while wrapping gifts in exchange for a donation. Click here to Volunteer

Scotiabank Toronto Waterfront Marathon (September 25, 2005):

Pre-event Marathon Planning: Help promote the event and recruit runners for the Epilepsy Toronto team. Organize ongoing communication with team members and help prepare for the day.

Runners: Raise pledges for Epilepsy Toronto and take part in the Toronto Waterfront Marathon by running or walking in the 5Km, Half or Full Marathon. Click here to Volunteer

Race day volunteers: Meet and organize the Epilepsy Toronto Team members before the race, distribute information and cheer the team on!

Office/Administrative Duties (Ongoing):

Planning Committee Member (Ongoing):

Join our BuskerFest, Scotiabank Toronto Waterfront Marathon or Art Auction committee and help us plan these events by assisting with marketing, sponsorship acquisition, publicity, donation solicitation and many other roles.(see bellow for committees) Click here to Volunteer

Development Committee

FUNCTION: To increase the number of people who use our services, become members of the association, and lend financial, volunteer, or partnership support.Click here to Volunteer

COMPOSITION: 6-8 volunteers with expertise variously in marketing, sales, community relations, proposal development, fund development, writing Click here to Volunteer

ROLES:

Marketing

  • Develop a strategy for driving client traffic to the agency
  • Cultivate primary sources of referral (ie neurologists)
  • Monitor outcomes


Community Development

  • Increase agency membership
  • Develop a strategy for increasing member involvement/investment in agency
  • Strengthen volunteer leadership & leadership succession
  • Develop strategies and protocols for volunteer recognition
  • Strengthen ties with the epilepsy service community


Fund Development

  • Identify prospective donors in the database and approach them for support
  • Create a donor recognition protocol
  • Leverage the database to cultivate corporate support (employee funds, match gifts, sponsorship, etc)
  • Widen the donor base (i.e. via the internet, door-to-door, list trading, telemarketing, etc)
  • Approach Foundations for support
  • Strategize a building capital campaign
  • Design a 'thon' event with a potential to cultivate individual donors


Art Auction Committee

FUNCTION: Organize and manage the Art Auction

COMPOSITION: 10-15 volunteers with expertise variously in event production, sponsorship development, sales, database management, writing, and design

ROLES:

  • Sponsorship development
  • Gifts-in-kind solicitation
  • Design (promotional materials & web site)
  • Set-up & display
  • Programme production
  • Volunteer recruitment and coordination
  • Ticket Sales
  • Invoicing & cash management
  • Auctioneer / host
  • Production manager

Service Evaluation Committee

FUNCTION: To ensure that the programs of the agency are effective, efficient, and responsive to consumer priorities

COMPOSITION: 5-6 volunteers with acumen for program analysis, logic, and semantics, and an appreciation for customer service. May be helpful to have a few other volunteers as well, with particular expertise the various program areas (adult counseling, children, employment, public awareness)

ROLES:

  • Identify measures of success and evaluation protocols for all programs & services of the agency
  • Evaluate and analyze service outcomes (effectiveness) and outputs (efficiency)
  • Survey consumer needs & priorities
  • Survey consumer satisfaction
  • Present program recommendations to the Board

MAROD Committee

FUNCTION: To ensure that the staff, volunteers, and consumers of the agency reflect the Toronto multicultural mosaic, and that agency programs & communications are supportive of that diversity.

COMPOSITION: 3-4 volunteers with expertise in service delivery / marketing / communications / recruitment; an appreciation for diversity objectives; and linkages to various communities of diversity

ROLES:

  • Determine the ethno-racial composition of the Toronto Epilepsy Community
  • Evaluate the diversity of ET consumers, staff, & volunteers; establish targets; and determine outreach strategies
  • Monitor agency programs & communications toward achieving a standard of accessibility set by the Board
  • Ensure staff and volunteers of the agency have the proper knowledge and awareness to address the needs of a diverse clientele
  • Gauge the needs and priorities of persons with epilepsy in Toronto communities of diversity, and recommend service options
  • Assist with epilepsy promotion and education in Toronto communities of diversity

Personnel Committee

FUNCTION: Ensure the personnel policies of the agency are current, consistent with the community standard, and appropriate to the needs of the agency. Mediate staff grievances toward management, and conduct exit interviews upon request.

COMPOSITION: 3 volunteers with HR experience

ROLES:

  • Review policies
  • Propose policy amendments / additions for Board ratification
  • Research community standards, as needed

Buskerfest Committee

FUNCTION: Organize and manage Buskerfest

COMPOSITION: 10-15 volunteers with expertise variously in marketing, sponsorship development, event production, theatre arts, design, and volunteer coordination

ROLES:

  • Sponsorship solicitation
  • Event marketing and PR
  • Performer screening & coordination
  • Volunteer recruitment and coordination
  • Vendor negotiations and coordination
  • Design
  • Site logistics

Greeters
ROLES:

  • Welcome visitors as they arrive
  • Offer visitors event programs, encouraging them to make a voluntary donation, and give out Epilepsy Toronto stickers to those who do.
  • Answer general questions about the event and its purpose
    Commitment: one or more shifts of 4 hours in length
    Key Qualities: Friendly, keen and feel comfortable speaking with the public

Volunteer Captains
ROLES:

  • Will supervise and assist greeters (e.g. give out volunteer T-shirts, accompany volunteers to shift location, monitor sign in/sign out process)
  • Oversee donation collection
  • Assist the site co-ordinators in their ongoing surveillance of the site
  • Answer general questions about the event and its purpose
    Commitment: two or more shifts of 6 hours in length
    Key Qualities: previous volunteer experience and strong leadership skills

Information Booth Attendants
ROLES:

  • Provide general information about the event, its purpose and Epilepsy Toronto (an information package will be provided to assist with questions)
  • May have to comfort lost children - a specific process will be outlined at the beginning of your shift of what to do if a child becomes separated from its parent(s)
  • Familiarity with the site layout
    Commitment: one or more 6 hour shift(s)
    Key Qualities: Ability to speak to the public, pleasant and calming personality

Scotiabank Tent: Children's Workshop Attendants
ROLES:

  • Supervise children during the workshops
  • Hand out children's toy to all children that come to the tent
  • Register children for the various workshops
  • Ensure children under the age of 8 are accompanied by an adult during the workshops
    Commitment: one or more 4 hour shift(s)
    Key Qualities: Enjoys children, pleasant and calming personality

Pre - Event Planning (Trouble Shooters)
ROLES:

  • Various committee roles, work will be tailored to the interest, skills and time commitment of each volunteer
  • Accompanying Buskers on publicity spots and pre-buskerfest performances around Toronto (hand out flyers, answer questions about the event and Epilepsy Toronto)
  • Setting up the Festival Site early on opening day
  • Contacting volunteers and confirming shifts
  • Drivers to shuttle performers, etc.
